1. About CandWAG

Carshalton & Wallington Art Group (CandWAG) is a community art organisation established in 1949, operating as an unincorporated association. We provide art education, social activities, and creative opportunities for our members and the wider community.

Membership Application

As a CandWAG member, you agree to:

  • Pay membership fees and any additional costs promptly
  • Notify us of any changes to your contact information

Membership Termination

Membership may be terminated by either party with reasonable notice. The committee reserves the right to terminate membership for breach of these terms or conduct detrimental to the group.

4. Equipment & Studio Usage

Shared Equipment

  • Members may use group equipment (easels, lighting, etc.) during sessions
  • Equipment must be returned clean and in good condition after use
  • Report any damage or malfunctions immediately to group leaders
  • Members are responsible for replacement costs if equipment is damaged through misuse
  • Personal equipment should be clearly labeled and secured

Studio Space Booking

  • Studio spaces are allocated on a first-come, first-served basis during sessions
  • Members must clean their workspace after each session
  • No storage of personal items is permitted without prior arrangement
  • Respect other members' workspace and materials

5. Exhibition Terms

Artwork Sales

  • CandWAG may take a commission of 20% on artwork sold during group exhibitions
  • Commission helps fund group activities and venue costs
  • Artists set their own prices and retain 80% of sale proceeds
  • Payment will be made within 30 days of sale completion

Exhibition Insurance

  • CandWAG maintains public liability insurance for group exhibitions
  • Members are responsible for insuring their own artwork against damage or theft
  • The group cannot accept liability for artwork damage during transport or display
  • Members should photograph their work before submission for insurance purposes

Hanging & Collection

  • Members must deliver and collect their artwork on specified dates
  • Artwork not collected within one week of exhibition end may be disposed of
  • All artwork must be properly framed and ready for hanging
  • Maximum dimensions and weight restrictions apply as specified for each venue

6. Photography & Social Media

Event Photography

  • CandWAG may photograph events, workshops, and exhibitions for promotional purposes
  • Photos may be used on our website, social media, newsletters, and publicity materials
  • Members who prefer not to be photographed should inform organizers at the start of events
  • We respect requests to remove photos containing identifiable individuals

Artwork Photography

  • We may photograph member artwork for online galleries and promotional use
  • High-resolution images may be used for exhibition catalogues and press materials
  • Members retain copyright but grant CandWAG permission for promotional use
  • Artwork photos can be removed from our materials upon written request

Social Media Usage

  • Members may be tagged in social media posts with their consent
  • We encourage sharing of group activities but respect privacy preferences
  • Members can opt out of social media features at any time

7. Intellectual Property Rights

Member Artwork

  • Members retain full copyright and ownership of their original artwork
  • By submitting artwork for display, you grant CandWAG permission to display it in our online gallery, exhibitions, and promotional materials
  • You may request removal of your artwork from our displays at any time
  • You warrant that submitted artwork is your original work and does not infringe third-party rights

Website Content

The design, layout, and content of this website (excluding member artwork) are owned by CandWAG or used with permission. You may not reproduce, distribute, or create derivative works without our consent.

8. Events and Activities

Participation

  • Event details may change; we will notify participants of significant changes
  • Some events may have additional costs or requirements
  • Participants attend events at their own risk
  • We reserve the right to cancel events due to insufficient numbers or other circumstances

Photography and Documentation

Events may be photographed or recorded for promotional purposes. By attending, you consent to such documentation unless you specifically notify us otherwise.

9. Complaints & Dispute Resolution

Informal Resolution

We encourage members to resolve concerns through direct, respectful communication. Most issues can be addressed through discussion with group leaders or committee members.

Formal Complaints Procedure

If informal resolution is not successful, you may submit a formal complaint:

  • Submit written complaints to the committee via email or post
  • Include specific details, dates, and any supporting evidence
  • The committee will acknowledge receipt within 7 days
  • A response will be provided within 28 days of receipt

Committee Appeals

  • Decisions may be appealed to the full committee within 14 days
  • Appeals must be submitted in writing with grounds for review
  • The committee's decision on appeals is final
  • Serious matters may be referred to an independent mediator if agreed by both parties
